Client Builder Pro Notes is a local-first desktop application. All employee information and documentation records you enter are stored only on your own computer, encrypted with AES-256. Just as a spreadsheet vendor does not receive what you type into a spreadsheet, the Company does not receive or store your employee records.
Documentation records, employee information, and notes are never transmitted to the Company. The application connects to the Company’s servers only for two purposes: (a) license checks and (b) software updates — both over the encrypted HTTPS/TLS protocol. Neither carries your record data. The AI that structures your notes also runs on-device.
To create accounts and verify plans, the Company processes the account holder’s email address and license/subscription identifiers, and, for paid plans, payment is handled by our payment processor. The Company does not receive the contents of your employee records.
The local database and backup files are encrypted with AES-256, unlocked by a passphrase you set on first run. Your passphrase is never stored or sent to the Company; if it is lost, the data cannot be recovered. Even if a file is exposed, its contents cannot be read without the passphrase. Backups remain encrypted and are controlled by the user.
Because data resides on the user’s computer, the user is responsible for device security (account password, full-disk encryption, safe backups) and for complying with applicable employment, privacy, and recordkeeping laws, including obtaining any consents required to collect or retain employee information.
